Quotation-to-order workflow for a building materials supplier

Large project quotations with many line items, revised repeatedly before becoming an order.

  • Versioned quotations
  • Line-item revision history
  • Quotation-to-order conversion
  • Agreed-price carry-through

The problem

Quotations were built in spreadsheets and emailed. Revisions multiplied, and when an order arrived nobody was certain which version it referred to. Pricing agreed during negotiation was frequently lost when the order was entered.

What we built

We built quotations as versioned records, so each revision is kept and the order is created from a specific version. The agreed pricing carries into the order automatically rather than being re-keyed.

Modules delivered

  • Versioned quotations
  • Line-item revision history
  • Quotation-to-order conversion
  • Agreed-price carry-through
  • Approval on discount
  • Win/loss tracking

What changed

What the delivered system does differently from the process it replaced.

  • Orders are traceable to the exact quotation version they came from
  • Negotiated pricing carries through without re-entry
  • Quotation history is available during a dispute

Why this customer is not named

Most of our customers allow the work to be described but not their name published. Where a customer has given permission, their name and testimonial appear here.

Independent accounts of our work are published by customers themselves on our Facebook reviews page.

Does this look like your problem?

If any of this is familiar, the first step is the same one this project started with: a free requirement study that ends in a written scope and a fixed price.
